Never written anything like that? Don’t panic—writing a proposal doesn’t have to be a daunting process, and after you’ve written your first proposal, all others will come much easier.

That’s because the goals and structure for any business proposal are the same: 1) introduce yourself, 2) highlight the services you offer, 3) describe the costs, and 4) persuade your prospective client that you are the perfect choice for the project. You can also speed up the proposal writing process by using pre-designed templates and studying sample proposals.

The basic proposal structure is the same, whether your business is shipping services, import/export services, logistics management, personal transportation services, or even asking for funding to create or grow a transportation business. Here’s the order your proposal sections should follow: 1) introduce yourself, 2) summarize the prospective client’s needs, 3) describe your products, services and costs, and finally, 4) provide information about your organization, your credentials, and your capabilities.

The Title Page is exactly what its name indicates: a page with the title of your specific proposal (for example, “Optimizing WestWind’s Shipping Logistics,” “Freight Transportation Quote,” “Limousine Luxury Travel Services,” or “Import/Export Services for Jenson Brothers, LLC”).

Next, after this introduction, write the section that describes the needs of the prospective client. In a lengthy proposal for a complex project, you should provide a summary preceding the detailed pages. In proposals to corporations, this summary is usually called an Executive Summary. In complex but less corporate proposals, the summary is usually called a Client Summary. On this summary page and in the detailed pages of this section, describe your client’s needs and goals and discuss the limitations or restrictions that may be associated with the project. Don’t insert your own ideas yet; this section is where you demonstrate that you understand the client’s needs.

In the last section of the proposal, you get the chance to promote your project, products, and services. In this section you will include pages that describe precisely what you have to offer and what it will cost. This section should contain some pages with general headings like Services Provided, Benefits, Features, and Cost Summary, but it should also incorporate more detailed pages that fully describe your products and services, explain how you can fulfill the client’s needs, and list the associated costs.

Your specific business will determine the specialized topics and pages you need to include in your proposal. The size and scope of the project will determine how many topics and how much detail will be required.

A cargo hauling company might need to include topics like Equipment, Options and Fleet to describe the equipment options available to customers. Topics such as Shipping, Handling, Routes, Service Area, and Storage would be used to cover how and where client cargo will be transported. You might also need to include topics to outline special circumstances for hazardous materials or special needs, including pages such as Safety Plan, Security Plan, Training, Certifications, Site Specific Requirements, Special Needs, Regulations, Permits and Licenses, and Insurance.

A company providing import/export services might want pages such as Imports, Exports, Time Line, International, Logistics, Partners, Transportation, Routes and Process Management.

A limousine service may include topics such as Fleet, Price List, Service Area, Services Provided, and Our Clients. If you are offering services to corporate clients, you may need to supply extra information such as your Training, Certifications, and Insurance. If you supply high-end corporate services, you may also want to include topics such as your Safety Plan and Security Plan.

A proposal for an internal company supply chain project may require additional topics for how a project will be managed. Include topics such as Project Management, Reporting, Key Positions, Logistics, Supply Chain, Distribution, Suppliers, Procurement, Sourcing and Fulfillment, Automation, Risk Management, Disaster Recovery Plan, and so on.

If you are proposing an internal company project, not only do you need to look good; you need to make sure your boss looks good, too. A more cautious approach would be to start a new business without borrowing substantial funds because if the small business owner has the ability to make a success of the business and make money then they can usually do so without external funding and use the profits made to build the business in the future. The sound reason for a small business or a start up business to borrow money is to already be showing a good financial performance and use extra funds to speed up future success while borrowing funds with no track record is a gamble and a gamble which fails only too often.

A Proper Mission Statement Can Drive Your Life Forward

Most people measure us by our accomplishments — what we’ve done. In my experience, most people compile their track record of accomplishments BY MISTAKE; that is, we don’t have a plan, we simply react to opportunities as they arise. In other words, our accomplishments are externally motivated, not internally driven. What this argues for, of course, is a consciousness of mission — what each of our lives is really about. That’s what this short article will discuss — your Personal Mission Statement. A Personal Mission Statement will help you to organize your entire life — your time, your thoughts, your priorities. Actually, a personal mission statement, conscientiously developed, will change the way you view everything in your life.

Your personal mission statement will force you to constantly re-evaluate who you are, what you’re about, and what you’re doing. As an example, just look at the Constitution of the United States. The essential mission statement there is “…to create a more perfect union.” Where would we be as a nation today if they had not outlined the goals and hopes of a new nation in those terms?

The basics of a mission statement are as follows:

1. Make it short and to the point. Nelson Mandela’s mission statement, developed over his 27 years in prison in South Africa, says just this: “End Apartheid.” Another great mission statement was developed by Abraham Lincoln upon his inauguration as President. “Preserve the Union.” Note that mission statements can change. Perhaps a mission is accomplished. Franklin Roosevelt started his presidency with a mission to “End the Depression.” By the time that was almost done another threat had arisen and the United States had become involved in World War II. Now the mission statement was “End the War.”

2. Keep your mission statement short, to the point, simple. Use direct language. Be sure that a 12-year-old could understand the statement and you’ll be more or less on track.

3. Make it memorable so it can be burned into your consciousness. The rule of thumb here is that if you can’t recite it from memory, it’s too long and too complicated. Remedy: simplify, condense, “laser” your thought process until you’ve said everything you need to say in the fewest and strongest possible words.

4. Eliminate excuses. Before you can write an effective mission statement you must clear away the excuses that prevent most people from writing one in the first place. Don’t make the mistake of thinking that your job IS your mission. It’s only part of it…or not. Either way, remember that a mission is larger than a job. Your job may change, but your mission may not. In fact, there are times that a job MUST change in order that a mission be completed. So don’t lock yourself in a box that says that you ARE your work. You’re far more than that. Another trap…excuse…is “My role is my mission.” If you’re a man you may think of your role as “breadwinner.”

For a woman this might be “wife” or “mother.” The operating principle here is that your role, too, may change. In fact, as your life, evolves your role will almost certainly change. The third excuse — the one most of us don’t want to cop to — is that we may believe that we’re just not important enough to have a mission statement. Sure, it’s fine for a big company to have one, or for a country to have one, but I’m just one of the “little people,” so I don’t DESERVE one. Parenthetically, we almost never say this aloud. What we do say, at least to ourselves, is that we don’t NEED one. WRONG, WRONG, WRONG!! Get rid of all that silly thinking. Focus. You’ll be glad you did.

Finally, clear out influences that have driven you in the past. A mission statement isn’t about what you think you should be doing. It’s about what EXCITES you. So instead of listening to all those voices from the past…the ones that told you you weren’t worth anything, that you’d never succeed, and so forth. Concentrate on your gifts, your dreams.

If you believe that starting your own business from scratch is easier, cheaper and better than starting with a network marketing company, then I am deeply concerned about your understanding of entrepreneurship.

After 30 years of being an entrepreneur, there is nothing easy, fast or cheap about starting your own business. It is time-consuming, expensive and there will be at least a thousand things you don’t know how to do or even thought you needed to know.

My first business was a franchise. I brought Molly Maid out to the west coast of Canada back in 1981. It was a great introduction to business because I learned systems and then more systems and them more systems. While at the time it seemed incredibly tedious to learn the system for cleaning a house, doing the marketing, keeping client records, employee files, etc. it was a fabulous foundation for my next three decades of being in business.

However, after leaving the security of a franchise, I certainly learned the challenges of starting my own business quickly. When something didn’t go right, I would ask the obvious question, “why didn’t anyone tell me?” The answer back always was: you didn’t ask the question.

It didn’t matter that I didn’t have enough knowledge to ask the question that so desperately needed to be answered. I would lose money, a sale, a client or an opportunity because of my ignorance and naivete. It is a common scenario for entrepreneurs. We don’t know what we don’t know. That is why starting your own business from scratch is a risky business these days.

To be successful in business you need four crucial components:

1. Money

2. Time

3. Knowledge

4. Experience

Now you can use someone else’s money but usually they want to see your knowledge and experience before they invest in you. Very few people I know have enough time on their hands to do what they are currently doing, never mind take on a whole new endeavor. If you have never run a business before, you may have knowledge in your field but you very well could lack experience.

Each one of these components can be bought. For example, through delegation, you buy time. You can purchase knowledge and experience. But to do those three things you need money. If you are short on money, time, knowledge and experience, then starting your own business is riskier than buying a lotto ticket.

Does your business promote energy efficiency or protect or clean up the environment? These days, working in an environmentally related business can mean a lot of things. You might be running a janitorial service or a construction cleanup business, where you need to safely handle and dispose of all kinds of waste. Or maybe you’re promoting green energy, like solar and wind power and alternative fuels. Or retrofitting buildings for energy efficiency. Or managing an environmentally friendly recycling program. The list of environmentally related business situations is long.

You know your business inside and out. You know your capabilities and what your clients need from you. You’re also looking for new clients and more business or an investor for the next revolutionary green product. So are all your competitors; these days all businesses are clamoring for attention. Sending out a form letter or posting an ad in the local yellow pages is not usually the best way to stand out in the crowd. The best way to succeed in growing your client list and landing more jobs is to master writing a business proposal.

Never written a proposal before? Don’t sweat it. Basically, all you need to do in a business proposal is 1) introduce yourself, 2) show that you understand your prospective client’s needs, 3) highlight your goods and services and present your costs and 4) persuade the client that your organization is right for the job. Using pre-designed templates and samples along with some automation software can help you write your proposal quickly and efficiently.

Writing a business proposal for an environmentally related business is actually pretty straightforward. That’s because, no matter what your business is, all proposals follow the basic four-part structure listed in the previous paragraph.

The length of your proposal will vary depending on the size and needs of the client as well as your type of business. The average proposal is five to ten pages long, but a complex proposal could have dozens of pages, and a very short one might include only an introductory Cover Letter, a Work Order, and a Price List. A government RFP response could be 30 pages long or more.

The key to a successful proposal is to tailor it to the party who will receive it. Put yourself in the other party’s shoes. If you don’t know them well, you may need to do some research about their business and history, but this effort will pay off in creating a customized proposal that is much more likely to succeed than any form letter or price list.

That doesn’t mean that you can’t reuse a lot of the same pages for multiple proposals; it simply means that you need to target each proposal to the specific client’s needs. A proposal is a sales document meant to persuade potential clients to give you their business. To do that, you must instill trust that you can deliver the goods, research or services they need.

So, following the general order described above, you should start your proposal by introducing yourself with a Cover Letter and Title Page. The Cover Letter should be a brief; just explain who you are and include your company contact information. You should print your Cover Letter on your company letterhead. The Title Page is exactly what it sounds like: a page that introduces your proposal and names the specific project you are discussing. Some examples might be “Cleanup Services for the Ryleston Building Construction Project”, “Proposal to Construct Wind Turbines in the North Valley”, “Proposed Conversion of Corporate Fleet to Alternative Fuels”, and so forth.

After the introduction comes the client-centered section. Add topics that show that you understand the needs of your client. Depending on the complexity of the project you are proposing, you may or may not need to start off with a detailed summary (called an Executive Summary for corporate clients, or a Client Summary for a less formal project). In this client-centered section, demonstrate that you understand the prospective client’s requirements, needs, and concerns. For example, you might want to include pages that discuss issues generated by the specific project workspace or by the hazardous materials to be handled. This is not yet the place where you talk about your goods or services. The client’s concerns come first.

After the client-centered section comes your turn to shine. Add pages that describe how you can provide solutions for the client with your goods or services. You’ll add pages with titles like Products, Services Provided, Benefits, Price List, Services Cost Summary, Warranty, Guarantee and so forth—include all topics you need to describe exactly what you will provide and how much it will cost.

Depending on your business or the project you’re proposing, you may need specialized topics, such as pages that address specific concerns such as your employees’ training in safety or hazardous waste handling, etc. Add pages with details the client will want to know, such as descriptions of your Personnel, Training Plan, Safety Plan, Insurance, Equipment, Security, Quality Control, Certifications, Environmental issues, and so on.

A building retrofitting company may have to deal with many different topics at once, such as selling both services and products as well as servicing multiple locations for a client, along with all the associated equipment and logistical needs.

A recycling company may need to discuss Transportation and Facilities issues as well as Handing input, output, and waste.

Specialized cleaning services such as accident, crime scene, fire, or flood cleanup companies should include topics to discuss hazardous or biological waste handling and environmental protection issues.

A company selling “green” products may want to list materials or describe special features of their products, certifications, discuss how their products compare to competitors, or list special bundling deals or volume discounts.

After you’ve described what you are proposing to do comes the final section, where you provide your company details. Your goal is to conclude your proposal by convincing your client that you can be trusted to deliver the goods or services you have promised. Here, you’ll add pages like Testimonials, References, Awards, About Us / Company History, Capabilities, Qualifications, Our Clients, Customer Service, and so forth—all the topics you need to persuade the client that you have credibility and can be trusted.

There! You’ve written a proposal. But you’re not quite finished. Take a little time to make your proposal visually appealing; remember, you want to stand out from competing proposals. Add color and graphics by incorporating your company logo, using colored borders, and/or selecting custom bullet points and fonts that match your business’s style.

Carefully proofread and spell-check all the pages. It’s difficult to catch errors in your own work, so it’s always a good idea to have someone who is unfamiliar with your proposal do a final proof. Spell check will not catch correctly spelled but misused words.

Save your proposal as a PDF file or print it, and then deliver it to your potential client. Emailing PDF files to clients is very common; however, keep in mind that a printed, signed, and hand-delivered proposal may impress the client more. If the new business is especially valuable to you and your competition is tight, you should put more personal effort into the proposal and delivery.

As you can see, a proposal for an environmentally related business will mean something different to everyone who needs to write one. Each organization’s specific proposal pages will be different, and for maximum success, each proposal should be customized for the party receiving it.

The good news is that all proposals follow a similar format and structure, and you don’t need to start from scratch—you can find templates for all the pages mentioned in this article in a proposal kit. Find a package of templates that includes instructions and examples of information that should be included on each page. You will also want to find a package that also includes a wide variety of sample proposals, including samples for all sorts of environmentally related businesses. Using pre-written templates and studying samples will spark your imagination and make it easy to create your own winning business proposal.

You have to have a business plan, although the business plan may not be set in stone, it is important to have a starting point and certainly if you need funding for your business project, lenders will want to see a well thought out business plan. A good business plan will identify areas that might need more investigation and will help you to clearly communicate the purpose of your business and your vision for its future. It’s part of your due dilligence and also a good way to make sure that all your thoughts and feelings have been put down on paper, some of which you might not want to put into the final version of the plan but a good drill nonetheless.

Most business plans will consist of the following sections:

1. An Executive Summary of the business scheme in one or two pages (this can be wrtiten after you’ve done all the detailed work but means that a bank manager can pick up the plan and have an idea in a few seconds what it’s about. It should include the reason for starting, the method of trading and a planned start date.

2. The Market – You will have to explain who your customers will be and who your competitors are. What market share will you need to prosper?

3. People – Who are the principals and what staff will you require?

4. Marketing & Advertising – How are you going to catch the attention of new customers? What methods will you use and what will they cost?

5. Sales & Pricing – What do your products cost and what sales do you expect? Are your prices lower or higher than your competitiors and if so, why? Also include your gross profit margin and net profit margin.

6. Premises – On what terms? Are you leasing or buying? How much does it cost? What are the rates?

7. Equipment – What equipment will you need? Will it be bought or leased and what is its lifespan?

8. Setting up costs – What is the total cost for setting up and how much do you need to borrow to accomplish this. Also include the break even analysis.

9. The Appendices – should include the CVs of the principals as well as the financial forecasts. Most banks will want to see Sales Forecasts, Cash flow Forecasts & Profit & Loss Forecasts for the first year and probably the next years as well.
